Set clinic and service deposit rules

Cosmetic Clinic sets a 10% deposit with a £50 minimum. For a £220 treatment, the higher amount is £50. A separate Facial consultation uses its own £60 fixed deposit.

  2. 00:09

Show the deposit during online booking

Sophie books Dermal Filler (Lips 1ml) through the included Managed Website. She reviews the £50 deposit and £170 balance before continuing to checkout.

  3. 00:18

Confirm the deposit and remaining balance

Secure checkout stays pending until payment is confirmed. The successful £50 deposit is then recorded against Sophie’s appointment, leaving £170 outstanding.

  4. 00:28

Reserve with card as an alternative policy

With card reservation enabled instead of a required deposit, the customer saves a card at checkout. Confirmation shows £0 charged, no funds held and the £220 appointment balance still unpaid.

  5. 00:37

Set cancellation notice and review the policy

The clinic chooses a two-day online cancellation notice period. The team reviews its policy and the payment record before deciding any charge or refund; cancellation and no-shows do not automatically collect a fee.

Know what has been paid before the client arrives

Keep the deposit, remaining balance and payment history alongside each booking.

Booking deposits

Set a clinic-wide deposit as a fixed amount or a percentage, then override it for individual services when you need to. Take the deposit when the client books.

Keep the deposit and remaining balance together

Take a deposit when the client books, then see what remains to pay alongside their appointment.

  • See what is still owed

A confirmed £50 deposit on a £220 appointment leaves £170 to collect at the visit. Review payment history before taking the balance.

  • Review changes against your policy

Keep cancellation decisions with your team. Request any eligible refund explicitly and follow its status in the payment history.

When a client cancels late or doesn't arrive

Follow the policy you set. Record any refund or credit with the payment history so your team can see what happened.

1

Reserved card and no-show fees

Keep a saved card ready for your policy on missed appointments and late cancellations. Your team decides whether to collect a fee.

2

Online changes within your cutoff

Clients can cancel or reschedule online up to the cutoff you set. Show the same policy wording in confirmations so expectations are clear before the visit.

Your governing terms, consumer obligations and professional requirements take precedence. Have the appropriate adviser review wording, fees and exceptions before using them.

Help clients keep their appointment

Combine deposits with reminders, a clear policy and a cancellation waitlist your clinic controls.

Set the reminder day and send time for SMS, email or both. Keep your cancellation and no-show policy wording in confirmations.

2

Rebooking and follow-up
